From Dubai Marina cafés to Abu Dhabi family restaurants and Sharjah shawarma counters, UAE restaurants run on their POS system. Buying one has become more complicated: VAT has to be right on every bill, e-invoicing is arriving from 2026–2027, and guests increasingly expect to scan, order and pay from their table. This guide explains what a restaurant POS system in the UAE needs to do, how POS system prices in the UAE are structured, and how to choose one that will still fit in two years.
What a restaurant POS system does
A restaurant POS runs service from the first order to the final payment:
- orders from the counter, from waiters and from guests via QR code
- kitchen tickets or a kitchen display, by station
- payments by card, Apple Pay, Google Pay and cash
- VAT-compliant bills and receipts
- sales, VAT and item reports
Larger setups add inventory, delivery-app integration (for the major aggregators), loyalty and multi-branch reporting.
UAE rules your POS must handle
VAT at 5%
UAE VAT is 5%. Your POS must apply it correctly, show it clearly on bills, and produce reports that make VAT returns easy. Decide whether your menu prices include VAT and keep that consistent on menus and bills. The Federal Tax Authority publishes the current rules.
E-invoicing from 2026–2027
The UAE is introducing mandatory e-invoicing through Accredited Service Providers (ASPs), with invoices exchanged in a structured format and reported to the Federal Tax Authority:
- July 2026: pilot programme and voluntary adoption
- 1 January 2027: mandatory for businesses with revenue of AED 50 million or more (ASP appointed by 30 October 2026)
- 1 July 2027: mandatory for remaining in-scope businesses (ASP appointed by 31 March 2027)
The first phase focuses on business-to-business and business-to-government invoices, and the scope for consumer sales may differ, so confirm how it applies to your restaurant with your tax adviser. When comparing POS systems, ask each vendor how they will support e-invoicing and which ASPs they work with.
Clear pricing
Show prices clearly, including VAT and any service charge or municipality fees that apply to your venue, so guests are not surprised when the bill arrives.
What a restaurant POS costs in the UAE
Prices vary widely, so compare the same lines for every vendor:
- Software — monthly or annual, per branch or per device
- Hardware — terminals, receipt printers, kitchen screens, cash drawers
- Payment processing — rates for card-present and online/QR payments
- Add-ons — delivery-app integration, online ordering, QR ordering, loyalty, inventory
- Setup, menu entry and training
- Support — including evenings, weekends and Ramadan peaks
Ask for a total cost for the first year. A cheap licence can become expensive once hardware, add-ons and support are added.
Features that matter for UAE restaurants
- Arabic and English menus and receipts
- QR ordering and pay at table for tourists and residents alike
- Delivery-app integration if aggregators are a big part of your sales
- Split bills and tipping, common in group dining
- Allergen and calorie information on menu items
- Kitchen display or printing by station
- Multi-branch reporting as you grow
- E-invoicing readiness for 2027
Traditional POS vs cloud and QR-first systems
| Traditional POS | Cloud POS | QR-first ordering | |
|---|---|---|---|
| Hardware | Proprietary terminals | Tablets | Guests' phones plus a kitchen tablet |
| Upfront cost | High | Medium | Low |
| Updates | Manual | Automatic | Automatic |
| Order at table | Add-on | Often an add-on | Built in |
Many cafés and casual restaurants in the UAE now combine a QR-first system for ordering and payment with a simple counter setup. Our guide to QR code menus in Dubai and the UAE explains how.
Where MenuBeacon fits
MenuBeacon is a cloud QR menu, table ordering and payment system that runs in the browser — no hardware to lease.
- Free, forever: 3 menus with unlimited items, 20 table QR codes, 5,000 scans a month, QR ordering, a live kitchen display, cash or pay-at-counter orders, allergens and calories, multi-language menus, and your own VAT and service-charge settings.
- Pro, $20 USD a month flat: card, Apple Pay and Google Pay at the table with tips and split bills (via Stripe), loyalty and gift cards, reservations with deposits, staff accounts with PINs, receipt printing, AI menu import and integrations.
Menus can be priced in AED and there is no commission on your orders. MenuBeacon is not an e-invoicing solution or a delivery-aggregator integration, so larger restaurants often use it alongside their main POS for QR ordering and pay at table. See pricing and features.
